Who Are You?

Thanx is looking for an Office and Events Coordinator to coordinate the many events occurring at our office and at the 15 plus trade shows we participate in across the country. The ideal candidate will have a “can do” attitude with a willingness to do a great job in whatever is required of them no matter how large or small the task. From scheduling and greeting candidates, to cleaning the kitchen and stocking snacks, to managing logistics for upcoming tradeshows.  This person will be an integral part of the Thanx community working with every employee and often be the first person a candidate or vendor meets.  If you are organized, energized, and have the ability to take initiative and resourcefully solve problems with a service oriented mindset, this position is for you!

Office Responsibilities

  • Manage all aspects of the daily functions of the office, including incoming communication (mail, fax and telephone)
  • Perform administrative work for the office, including check deposits and filing
  • Exec Admin to the CEO to help with scheduling and time management
  • Organize and schedule meetings and appointments
  • Organize office operations and processes including meals and snacks
  • Manage relationships with vendors, services providers and building landlord
  • Provide general support to visitors
  • Organize office functions and events

 

Events Responsibilities

  • Meticulously track and meet all deadlines related to the 15+ events that Thanx participates in every year
  • Coordinate all event logistics and shipping of materials
  • Work with marketing team and design to ensure professional presence at all events
  • Brief event staff prior to events on event goals and logistics
  • Assist with travel arrangements for booth staff
  • Help enter event leads into CRM

 

Requirements

  • 2+ years of work experience centered around the activities in related to the duties as described above
  • Proven office management and administrative experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Strong organizational and planning skills
  • Maintain confidential and sensitive information at all times
  • Ability to exercise independent judgment appropriately
  • Excellent MS Outlook and Office Suite, including PowerPoint and Excel
  • Strong written and verbal skills
